With today’s technology, we rarely write a letter; let alone arranging an appointment via letters. Nevertheless, letters are still in use. They are good for keeping records, especially when they are sent to many people.

The example below requests an appointment.

Dear Sirs/Madams,

NetTech has upgraded our products, which are more versatile and sophisticated than ever. We would like to demonstrate the pull power of our software to our clients. Would it be possible for us to arrange a workshop for your staff sometime next month? The workshop will consist of two sessions, each one and a half hour long.

Could you please confirm the time with us by October 15?

We would appreciate your timely reply and do look forward to meeting you.

Sincerely yours,

The recipient passes on the message to his/her colleagues.

Dear All,

NecTech offers a workshop to demonstrate their software. Could you please let me know whether you would like to attend and what time suits you best? Please fill out the attached slip and return it to me by October 13.

In order to arrange an appointment or meeting, you must state the purpose of the meeting propose a time. The examples of expressions that you can use are

Would it be possible for us to arrange a workshop for your staff sometime next month?
  to meet on ______?
Would you be free/ available on 17 October, sometime in the afternoon?
Is next Tuesday suitable for you?
Could you please let me know whether you would like to attend and what time suits you best?

Upon ending your letter, you might request a reply or express your enthusiastic in meeting the person.
