Resignation
  20 April 2004

Weeks ago we looked at a letter of resignation: how you can write a resignation if you have a new job or you want to retire for various other reasons. This week, we will look at how to write in response to the resignation.

Here is an example of a letter, accepting an employee's resignation:

Dear Ms. Seymour,

It is with deep regrets that we accept your resignation as a credit controller of the AMI.

We always enjoyed having you on our team and appreciated all of the fine contributions you have made to our organization as a credit controller. On behalf of everyone at AMI, I wish you all the best in your future career.

                                                         Truly yours,

First of all, you should acknowledge the resignation. You can use the same expressions as thank-you letters.

Thank you for your letter dated…….
We accept your resignation from the position of office manager with deep regrets.
We acknowledge the receipt of you resignation dated….. We are sorry to lose such a valuable employee, team member, colleague like you.

Then, you should express your appreciation for the work done. You may also want to express your well-wishes for his/her future.

I wish to take this opportunity to express my appreciation for all of the excellent work done/ outstanding performance/ fine contributions in the past three years.
It is sad to lose such a valuable colleague like you.
May I wish you success in your future endeavor.
All the best in your future career/ education/ retirement.
